More on order management

The platform behind every module.

Every module runs on the same workflows, rules, data and AI, so when your business changes you change a workflow, not your software.

Your order desk, receiving and approvals run as workflows: automatic where it’s safe, a person where it matters.

Policy · updated by Maya Chen

Stock cover policy

Cover is worked out on available stock: on hand, less what sales have already allocated.

  • Review when available stock is under 2 days of cover.
  • Critical when cover with everything inbound falls short of the supplier’s lead time.
  • Overstock when cover with incoming supply goes past 14 days.

Order enough for the lead time plus one week of demand, rounded to the pack. Stockwell recommends; a buyer approves.

Order size

Give a range up to 20% above the base quantity so the buyer can choose within it. Never order past a product’s shelf life at expected sales.

Who decides

Stockwell recommends. A buyer approves every purchase, and any order over $10,000 needs a second approval.

AI that does the work, and shows its working.

Ask Stockwell reads the same live record your team does. It looks things up across every module, works out the answer, and offers to act on it.

How rollout works.

Our engineers move your operation onto Stockwell with your team, on your floor. One module at a time, never a big-bang cutover.

  1. 01Weeks 1–2

    Core records

We load your products, suppliers, customers and prices, and reconcile opening stock with your team.

  2. 02Weeks 3–4

    First module, in trial

Your team runs it on real orders alongside the current system, and we tune the rules to how you work.

  3. 03Weeks 5–6

    Switch over

When the numbers match, that part of the old system retires. Your accounting stays connected throughout.

  4. 04Then

    The next module

Every module shares the same record, so each one you add goes faster and makes the others more useful.

Connect the systems you already run.

Accounting, inboxes and trading partners plug into the same live record. Your old distribution system hands over one module at a time.

Questions, answered.

Something else on your mind? Ask our team.

Is Stockwell an ERP?

Yes: an AI-native, composable one built for wholesale distributors. Orders, inventory, purchasing and pricing run on one live record, and you choose which modules to run. Your general ledger can stay in Xero, QuickBooks, NetSuite, Sage or Dynamics, and Stockwell posts to it. Distribution software like Prophet 21, Eclipse or a homegrown system is retired one module at a time.

How is that different from a traditional ERP?

A traditional ERP asks your business to change to fit the software, and takes a long, expensive project to get there. Stockwell works the other way round: our forward deployed engineers compose the system around how you already work, one module at a time, so it goes live faster, costs less to implement and keeps up as your business changes.

Do we have to buy every module?

No. Most distributors start with the module that hurts most, usually orders or purchasing, and add the rest when they’re ready. Every module shares the same record, so each one you add makes the others more useful and nothing has to be rebuilt.

How long does it take to go live?

We move your products, customers and prices, set up your rules and run alongside your current system until your team is ready to switch. Then we add the next module. Our forward deployed engineers do this work with your team, on your floor, and the first module is typically live within weeks.

What does the AI actually do?

It reads incoming orders, plans purchases, checks stock against promos and drafts replies, working on the same live record your team uses. It shows every step it took. You decide what runs on its own; anything that contacts a customer or moves money needs a person at first.

What does it cost?

A fixed onboarding fee for the weeks we spend moving you over, then a monthly platform fee based on the modules you run. No per-seat pricing and no usage meters. We agree the number with you before anything goes live.

How do you keep our data secure?

Your pricing, supplier and customer data stays yours. Nothing is shared across customers and nothing you give us trains anyone else’s models. We’ll show you where your data is stored, who can access it and how it is used.

See Stockwell on your operation.

Bring your products, customers and suppliers. We’ll show you what your morning looks like on one platform.
