Sell it before it expires or stops selling

Every lot carries its date and every product its days of cover. Stockwell flags stock close to its limit or sitting too long, picks the oldest first, and buys to cover rather than to habit, so less ends up written off.

What write-offs usually look like

  • Stock found past its date, or untouched for months, on a walk through the warehouse.
  • Ordering by habit, so the slow weeks overflow.
  • Write-offs that only show up at month-end.

How it works in Stockwell

  1. 01Receive by lot

Every delivery is received by lot, with its date, location and landed cost.

  2. 02Watch dates and cover

Each lot is tracked against its date, and each product against its days of cover.

  3. 03Pick oldest first

Orders are allocated oldest lot first, so short-dated stock ships before fresh.

  4. 04Buy to cover

The purchase plan works from available stock and real sales, and never orders past a product’s shelf life.

Shelf-life and cover rules, written down once

Rules like never ordering past a product’s shelf life, or when stock counts as overstock, are written down once, and purchasing and Ask Stockwell follow them.

Policy · updated by Maya Chen

Stock cover policy

Cover is worked out on available stock: on hand, less what sales have already allocated.

  • Review when available stock is under 2 days of cover.
  • Critical when cover with everything inbound falls short of the supplier’s lead time.
  • Overstock when cover with incoming supply goes past 14 days.

Order enough for the lead time plus one week of demand, rounded to the pack. Stockwell recommends; a buyer approves.

Order size

Give a range up to 20% above the base quantity so the buyer can choose within it. Never order past a product’s shelf life at expected sales.

Who decides

Stockwell recommends. A buyer approves every purchase, and any order over $10,000 needs a second approval.

Frequently asked questions.

Something else on your mind? Ask our team.

How does Stockwell know what’s about to expire?

Every lot is received with its date, and Stockwell tracks how much of its life is left.

What about stock that doesn’t expire?

Days of cover flags overstock on any product, and purchasing recommends cutting the next order before more arrives.

Does it change how we buy?

It recommends quantities from cover and lead time. A buyer still approves every purchase order.
